We're looking for an Events Coordinator — an organized, resourceful planner who can carry an event from concept to execution and make it look effortless along the way. This is a hands-on opportunity to build the spaces where HDRI's research meets the people it's meant to reach.

The Opportunity

As Events Coordinator, you will help design and deliver the conferences, seminars, workshops, and webinars that bring HDRI's five thematic pillars to life: Environment, Climate & Energy; Migration & Security; Global Health; Gender Equity; and Economic, Social & Cultural Rights.

This is a full-cycle role. You'll help shape an event before it exists on paper, manage it while it's live, and measure its impact once it's over, with real ownership at every stage.

What You'll Own

  • Planning — Support HDRI's events from conceptualization through post-event evaluation, including conferences, seminars, workshops, and webinars.

  • Strategy — Help build event plans, timelines, and budgets aligned with HDRI's mission and audience engagement goals.

  • Logistics — Coordinate venue selection, catering, audiovisual needs, and participant registration for smooth, professional execution.

  • Promotion — Help drive outreach and visibility by drafting event descriptions, shaping promotional materials, and supporting social media campaigns.

  • Programming — Support speaker invitations, agenda development, and session logistics to keep content sharp and engagement high.

  • Stakeholder Communications — Manage timely, professional communication with participants, speakers, sponsors, and partners.

  • Evaluation — Collect participant feedback, analyze event metrics, and help prepare post-event reports that inform future planning.

  • Administration — Maintain event databases, organize files, and manage event-related correspondence.

  • Collaboration — Work closely with HDRI's research, communications, and fundraising teams to keep every event aligned with our broader mission.

What We're Looking For

Education

Bachelor's degree in event management, hospitality, communications, or a related field.

Experience

Previous experience or internship in event planning or coordination, ideally within the non-profit sector or academic institutions.

Skills & Qualities

  • Strong organizational and time-management skills, with the ability to multitask and meet deadlines in a fast-paced environment.

  • Excellent communication and interpersonal skills, comfortable working with diverse stakeholders — speakers, participants, sponsors, and partners.

  • Sharp attention to detail and a problem-solver's instinct for anticipating challenges before they arise.

  • Familiarity with event management tools, including registration platforms, survey tools, and project management systems.

  • Fluency in English; proficiency in additional languages is a plus.

  • A genuine commitment to HDRI's mission and values, with a passion for social justice, human development, and youth empowerment.
